Building Bridges Across the River (BBAR), the incredible organization behind THEARC (Town Hall Education Arts Recreation Campus), has spent two decades making a monumental impact on the communities of Washington, D.C.’s Ward 8. To honor this incredible milestone, Extraordinary was entrusted to deliver a truly exceptional event for their annual fundraiser, the AfterDark@THEARC 20th Anniversary Gala. Our mission was clear: create an immersive, elegant, and technically flawless experience that reflected the magnitude of their achievement.
From Vision to 3D Reality: The Design Journey Begins
For an event marking two decades of dedication, our client required an event production partner capable of mastering complex technical demands while delivering a truly breathtaking aesthetic. As the leading provider of event production services in Washington, DC, we rose to the challenge.
The chosen venue, the campus itself in Washington, D.C., held deep meaning and inspiration, making it essential that our design honored its significance. As the full-service production partner, Extraordinary sat down with the client to map out every detail of their vision. Once we had a complete picture, we built custom 3D renders that showed exactly how the event would look and feel.
These weren’t rough sketches. They were fully immersive, photorealistic walkthroughs—complete with the sweeping curves of the main stage, the play of light across floral arrangements, and the intimate glow of the speakeasy side stage. The client could explore every angle, adjust layouts, and approve finishes in real time. By the time we finalized the design, they knew the finished event would look exactly like the render—down to the last detail.
Weeks in the Workshop: Crafting Elegance from Scratch
Once the 3D renders were signed off, our shop came alive. For several weeks, the fabrication team worked around the clock—cutting, welding, painting, and printing every piece in-house to hit the exact look the client loved.
- The Grand Main Stage – We built a custom platform with elegant wood panel skirting that wrapped the entire base, finished with carpeting for a seamless, upscale feel. The backdrop featured custom wood walls, rounded at the top for a refined architectural look. Once the structure was complete, we applied custom vinyl graphics printed in-house—stretched tight and perfectly aligned—to bring the speakeasy theme to life.
- The Speakeasy Side Stage – We constructed realistic brick walls from lightweight scenic materials, textured and painted to look authentically aged. A custom hanging sign swung above a compact performance platform—perfect for intimate musical acts or surprise guest appearances.
Two Days of Transformation: The Build-Out Blitz
Event week hit, and our crew rolled into the venue for a nonstop 48-hour push to turn renders into reality.
Day 1:
- We kicked off by building the main stage—assembling the platform, locking in the custom wood skirting, and rolling out plush carpeting to finish the base.
- Up went the truss structures, rigged with leko fixtures for warm stage washes, pattern gobos to layer texture across the set, and intelligent moving lights ready to pulse with the program and explode into dance mode later. Two large projection screens and a line-array sound system were flown from the truss, tested, and tuned.
- Across the room, we laid full wall-to-wall carpeting and gold draping to wrap the space in luxury.
- In the side room, the speakeasy stage came together—custom platform up, brick wall scenic elements locked in place, and every detail checked.
Day 2:
- The dance floor went down, polished to a mirror shine.
- Floral centerpieces positioned on every table and building dramatic arrangements across the main stage.
- We set up the Glambot slow-motion video booth, backed by a custom hedge wall for that perfect green-luxe backdrop.
- Our tech team locked in with the client for multiple full run-throughs—cue-to-cue, timing every speech, performance, and transition until the show flowed like clockwork.
- Final sweep: touch-ups, cable management, one last focus on every light.
The Night Unfolds: A Seamless Celebration
Cocktail hour set the tone the moment doors opened. Guests stepped into a warm, inviting space, greeted by passed hors d’oeuvres, the smooth sounds of live jazz musicians performing on the speakeasy side stage, and the flash of the Glambot capturing slow-motion red-carpet moments against its lush hedge wall. Laughter mixed with clinking glasses as attendees posed, replayed their cinematic clips, and shared them instantly.
With the energy building, guests were invited into the main ballroom. Our tech team stood ready—headsets on, cues loaded. The lights dimmed. A single spotlight hit the stage. The show began.
The program flowed with purpose and polish. Organizational leaders took the mic, delivering heartfelt remarks, while sponsors were acknowledged. As the final speech wrapped, the energy shifted. Intelligent lights snapped into vibrant color, the dance floor ignited, and the band launched into an upbeat set. Our AV techs and show caller worked invisibly behind the scenes, triggering every cue with split-second precision. No hiccups. No delays. Just pure, uninterrupted momentum.
By the end of the night, the 20th anniversary wasn’t just marked—it was felt.
