Keep in mind that certain factors might influence whether a special song request can be accommodated:

• The band’s repertoire: Some bands specialize in specific genres or eras, which may limit their ability to learn songs outside their usual style.

• The complexity of the song: Highly technical or uncommon songs might require more rehearsal time for the band to master.

• Lead time: Providing ample notice allows the band sufficient time to learn and rehearse your requests.

While most bands are happy to accommodate special requests, additional rehearsal time may affect the overall cost of the performance. We’ll always be transparent about any potential impact on pricing.

• Share your song list early in the booking process. This gives the band ample time to prepare.

• Provide clear and specific information about the songs, including artist, title, and any specific arrangements you prefer.

Typical Setup Time:

Most bands require a minimum of two hours for setup before their performance. This includes unloading instruments, setting up speakers and microphones, and fine-tuning their sound.

Factors that Influence Setup Time:

Several things can affect how long it takes a band to get ready:

• Band Size: Larger bands with more musicians and equipment will naturally need more time.

• Technical Needs: Bands with complex sound systems or lighting setups might require extra time.

• Venue Logistics: The layout of your venue, stage size, and ease of access can all play a role.

• Soundcheck: Some bands prefer a full soundcheck to optimize their sound in the venue, which takes additional time.

Making sure there’s enough room for the band is key to a great performance and a comfortable experience for your guests. Here’s a guide to help you plan:

Space Requirements:

• Small Bands (3-4 musicians): Need at least 10ft x 10ft (3m x 3m) – think a small stage or corner of a room.

• Medium Bands (5-7 musicians): Need around 15ft x 15ft (4.5m x 4.5m) – this allows for keyboards, extra singers, etc.

• Large Bands (8+ musicians): May need 20ft x 20ft (6m x 6m) or more – the bigger the band, the bigger the space!

Things to Consider:

• Stage: If your venue has a stage, make sure it’s big enough for the band and their gear.

• Ceiling Height: High ceilings are important, especially for bands with tall instruments or dramatic lighting.

• Venue Layout: Think about the overall space and any obstacles like pillars or low-hanging lights.

• Sound System: Larger venues may need extra space for bigger speakers and sound equipment.

We have a large network of reliable singers and musicians ready to step in as needed — ensuring your event goes off without a hitch.

• Client Cancellation (30+ Days Prior):
  If the Client cancels an Event at least thirty (30) days before the Event Date, all prepaid fees, costs, and expenses will be refunded in full, except for any non-refundable deposits.

• Client Cancellation (Less Than 30 Days Prior):
  If the Client cancels an Event less than thirty (30) days before the Event Date, any deposits, retainers, or prepaid fees, costs, and expenses will be forfeited. The Client will also be responsible for paying all fees and expenses outlined in the applicable SOW.

• Extraordinary Cancellation Due to Client Non-Compliance:
  If Extraordinary cancels an Event because the Client fails to obtain necessary permits and permissions, the Client will forfeit any deposits, retainers, or prepaid fees, costs, and expenses, and will be liable for all fees and expenses specified in the agreement.

In the event that inclement weather is reasonably anticipated, making the Event unsafe or otherwise impossible to hold on the scheduled Event Date:

1. Client Request for Rescheduling:
   The Client may request a rescheduled event date (“Rescheduled Event Date”) by providing written notice at least seventy-two (72) hours before the Event Date.

2. Efforts to Accommodate:
   Extraordinary will make commercially reasonable efforts to accommodate the Rescheduled Event Date. Both parties will collaborate in good faith to ensure that the services for the Rescheduled Event Date are materially similar to those specified in the applicable Statement of Work (SOW). The Client acknowledges that specific performers listed in the SOW may not be available on the Rescheduled Event Date, and will need to select replacement performers from a list provided by Extraordinary. If Extraordinary cannot accommodate the Rescheduled Event Date (as determined at its sole reasonable discretion), the parties will work together to find an alternative date for the Event.

3. Retention and Application of Funds:

   • Deposit Retention: Extraordinary will retain the deposit for the original Event Date and any nonrefundable or nontransferable payments made in advance by Extraordinary for the Event to offset any costs associated with the original Event Date.

   • Funds Application: If Extraordinary can accommodate the Rescheduled Event Date or an alternative date, all funds paid by the Client for the original Event (excluding the original deposit and any nonrefundable or nontransferable payments) will be applied to the Rescheduled Event Date. The Client will pay a new deposit, and the parties will enter into a new SOW.

   • Refunds: If Extraordinary is unable to accommodate the Rescheduled Event Date or an alternative date, Extraordinary will refund any amounts paid by the Client in excess of the applicable deposit, less any nonrefundable or nontransferable payments made in advance by Extraordinary for the Event.
